1. Who we are
Oak Tree Mastering ("we", "us", "our") provides professional online mixing and mastering services at oaktreemastering.com. We are the data controller for the personal information you provide when using our website and services. You can contact us at info@oaktreemastering.com.
2. What data we collect
We collect the following categories of personal data:
- Account data: name and email address when you create an account or sign up.
- Order data: service selections, payment confirmation details (processed by Stripe — we do not store card numbers), and order correspondence.
- Audio files: music tracks you upload for mixing or mastering. These are used solely to fulfil your order and are not shared with third parties.
- Communications: messages you send us via the contact form or customer portal.
- Technical data: IP address, browser type, pages visited, and session data collected automatically when you use our website.
3. How we use your data
We use your personal data to:
- Process and fulfil your mixing and mastering orders.
- Send order confirmations, status updates, and delivery notifications by email.
- Respond to enquiries and provide customer support.
- Maintain and improve our website and services.
- Comply with legal obligations.
Our lawful basis for processing is contract performance (to deliver the service you ordered), legitimate interests (to operate and improve our business), and legal obligation where applicable.
4. Who we share your data with
We share your data only where necessary:
- Stripe: payment processing. Stripe is PCI-DSS compliant. See Stripe's Privacy Policy.
- Dropbox: secure delivery of completed audio files to you.
- Email service provider: to send transactional emails relating to your order.
We do not sell, rent, or trade your personal data to any third party for marketing purposes.
5. How long we keep your data
We retain order and account data for up to 6 years to comply with UK tax and accounting obligations. Audio files you upload are retained for the duration of your order and a reasonable period thereafter (typically 90 days) to allow for revisions, after which they are deleted. You may request earlier deletion — see Section 7.
6. Cookies
We use strictly necessary cookies to keep you logged in and maintain your session. We may also use analytics cookies to understand how visitors use our site. You can manage cookie preferences via the cookie banner displayed on your first visit.
7. Your rights
Under UK GDPR you have the right to:
- Access the personal data we hold about you.
- Rectify inaccurate or incomplete data.
- Erase your data ("right to be forgotten") where there is no overriding legal basis to retain it.
- Restrict or object to certain processing.
- Data portability — receive your data in a structured, machine-readable format.
- Withdraw consent at any time where processing is based on consent.
To exercise any of these rights, email us at info@oaktreemastering.com. We will respond within 30 days. You also have the right to lodge a complaint with the Information Commissioner's Office (ICO).
8. Security
We take reasonable technical and organisational measures to protect your personal data against unauthorised access, loss, or disclosure. All data is transmitted over HTTPS. Passwords are hashed and never stored in plain text.
9. Changes to this policy
We may update this Privacy Policy from time to time. The "Last updated" date at the top of this page will reflect any changes. Continued use of our services after an update constitutes acceptance of the revised policy.
